Description:

Direct Hire Opportunity for a detail-oriented Bookkeeper / Administrative Assistant to support the company owners in a busy and growing aggregates (rock and construction materials) business. This role is responsible for accurate customer invoicing, administrative support to ownership and sales, and clear communication with customers, vendors and internal team members.

Experience with QuickBooks Enterprise (desktop) and strong organizational skills are essential. Knowledge of the aggregates or construction materials industry is a plus.

Bookkeeping & Invoicing

· Create, review, and send customer invoices accurately and on time.

· Match delivery tickets, scale tickets, and supporting documentation to invoices.

· Verify pricing, quantities, and job details before invoicing.

· Enter, update, and maintain financial data in QuickBooks Enterprise (desktop version).

· Research and resolve invoicing discrepancies and billing issues.

· Communicate with customers regarding billing questions, credits, and account status.

Administrative Support to Owners

· Provide day-to-day administrative support to the Managing Member and company owners.

· Manage email correspondence on behalf of owners related to billing, customers, and vendors.

· Prepare and organize documents, reports, and spreadsheets as requested.

· Maintain organized electronic and paper filing systems.

· Assist with scheduling, follow-ups, and other administrative tasks to help owners stay on track.

· Administrative and personal assistant responsibilities as assigned

Sales & Customer Support

· Provide administrative support to sales and sales drivers (e.g., entering orders, updating customer/job information, pulling tickets and history).

· Use the Customer Relationship Management (CRM) system to access information needed for invoicing and customer support.

· Assist with quotes, simple sales orders, and follow-up emails or calls as directed.

· Sending credit reference requests on behalf of customers; presenting references to owners.

· Maintaining vendor files; trucker files; and communication with vendors and truckers.

· Maintain professional, clear communication with customers by phone and email.

Required

· 2+ years of bookkeeping, accounting, or invoicing experience.

· Hands-on experience with QuickBooks Enterprise (desktop).

· Strong attention to detail and accuracy with numerical data.

· Proficient with Microsoft Office (Excel, Word, Outlook) and general computer skills.

· Professional written and verbal communication skills (email and phone).

· Proven ability to organize, prioritize, and follow tasks through to completion.

Preferred

· Experience in the aggregates, rock, concrete, construction materials, or trucking/hauling industry.

· Experience working with delivery tickets, scale tickets, and job-based billing.

· Experience using a CRM system (any platform).
